Job Purpose:
-To be an active team member of the Medmark Brokerage Team, contributing to the productivity and success of the company by focusing on assisting the DMD in a variety of activities enabling him to contribute more effectively to the success of the organization.
Administration Responsibilities:
-Manage, maintain and coordinate the Deputy Managing Director’s daily Schedule Conduct regular meetings with the DMD to discuss upcoming engagements
-Ensure commitments are updated on Google calendar
-Filter forwarded emails, highlight urgent correspondence and print attachments.
-Take action on agreed emails when copied, especially during DMD -vacations or absence from the office..
-Take over the follow-up, investigation, or enquiry regarding client cases in which the DMD is involved
-Coordinate travel and accommodation requirements for the DMD’s professional & personal need.
-Keeping up with the DMD personal & professional responsibilities (including non-Medmark meetings, logistics, administration needs)
-Gathering information and generating relevant reports on various applications including Excel, Word, and PowerPoint.
-Keep and maintain an accurate record/ filing of official and important documents and electronic correspondence.
-Prepare correspondence on behalf of the Deputy Managing Director, including the drafting of general replies.
-Minute general meetings as required.
-Ensure clients meeting with the DMD are well taken care of.
-Provide a work environment that is in line with the DMD’s work habits and preferences.
-Assist in ad-hoc projects in which the DMD is involved or leading
-Assist in the launch and maintenance of new software when launched
Marketing and Sales-Support Responsibilities:
-Generation of reports for marketing purposes
-Coordination with suppliers, print-houses, event organizers and agencies for on-going activities
-Assistance in ad-hoc marketing projects
-Tracking annual marketing budget
-Assist in organization of internal and external events
-Assist in prospecting activities to support the Direct Sales Force
-Manage on-going internal give-aways such as Medmark folders, T-shirts etc.
Requirements:
• Bachelor of Business Administration or a related field
• 2-3 years of experience working with senior management
• Excellent organizational skills, ability to multi-task and organize and work well with others
• Excellent spoken and written communication skills and ability to professionally represent the Deputy Managing Director's office
