Background
BCHR is a non-profit and non-governmental organization aiming to provide health, nutrition, food security and protection services as a humanitarian response to the escalating socio-economic situation in Yemen since 2015.

The Logistics Assistant will be under the supervision of the Project Manager, Aden Branch Manager. The Logistics Assistant will be responsible for ensuring sound operations management, which includes performing project's overall procurement and logistics tasks (reviewing procurement supporting documents, conducting procurement process, recording in the procurement system, documentation, and reporting). The Logistics Assistant will be based in Aden Office.

KEY RESPONSIBILITIES AND DELIVERABLES

  • Carry out procurement and contracting procedures for the needs of the project.
  • Preparing a monthly report on all logistical activities for the project manager.
  • Manage all contract agreements and lease contracts for various project requirements.
  • Follow logistical procedures to ensure compliance with donor regulations.
  • Ensure that all procurement activities are fully and transparently documented through quotations, invoices, and delivery reports.
  • Ensure proper and organized archiving of purchasing documents records including quotations, purchase requisitions, purchase orders, incoming goods, inspection and receipt minutes, notes, and receipts.
  • Ensuring the security of the materials entering the warehouses.
  • Follow up on the supply and storage of materials.
  • Preparing warehouses, supervising their readiness and securing them.
  • Inspecting and receiving materials and following up their procedures with suppliers.
  • Logistical preparation and arrangement for training programs, workshops and various project activities.
  • Any tasks assigned to him within the framework of his competence.
  • To assist in the procurement of goods and services is based on authorized requisitions in line with BCHR logistics policies procedures and in accordance with the division of responsibilities.
  • Collect the quotations to prepare all Procurement Documentation and submit to the Logistics Officer
  • Ensure all suppliers' invoices are delivered on time for the payment process, copy all payments before forwarding to finance for processing.
  • Assisting To keep records of and maintain contacts with suppliers and local repair/maintenance shops, and to conduct price comparisons among them, in order to get the best deals.
  • Liaise with the Logistics Officer to ensure proper forecast of needs for procurement at Aden.
  • Responsible to Immediately Report to Line Manager for any area where further management consideration is required.

Essential Requirements:

  • Bachelor's degree in a related field.
  • At least two years' experience in a similar position.
  • Previous experience working with humanitarian organizations is preferred.
  • Ability to work independently and as part of a team.
  • Computer skills Microsoft Word, Excel, Internet, etc.
  • Good level of English
  • Ability to work under pressure and meet deadlines.
