Job Description



Overview:

Perform a wide range of administrative and office support activities for the business and to provide personal assistance to the Management and Group Accountant, to facilitate the efficient operation of the organization.

Duties:

• Answer, screen and transfer inbound phone calls
• Receive and direct visitors and clients
• General clerical duties including photocopying, fax and mailing
• Maintain electronic and hard copy filing system
• Handle requests for information and data from business units, suppliers and clients
• Resolve administrative problems and enquiries
• Prepare written responses to routine enquiries
• Prepare and modify documents including correspondence, reports, drafts, memos and emails
• Schedule and co-ordinate meetings, appointments and travel arrangements for management
• Prepare agendas for meetings and prepare schedules
• Record, compile, transcribe and distribute minutes of meetings
• Open, sort and distribute incoming correspondence
• Maintain office supply inventories
• Assist in the group stock inventories and orders

Education and Experience:

• Must have in-depth knowledge of Microsoft Office, including PowerPoint, Excel, Word and Outlook
• Typing skills
• Knowledge of clerical and administrative procedures and systems such as filing and record keeping
• Must be fluent in Arabic, French and English
