- Acting as a first point of contact: dealing with correspondence and phone calls
- Managing diaries and organizing meetings and appointments, often controlling access to the Line Manager’s office.
- Provide proactive diary management and co-ordination of meetings and all related arrangements i.e. travel arrangements etc.
- Use judgement when scheduling meetings; determining the purpose of the meeting and the time that will be required and ensuring all relevant meeting documents (including agendas, pre-reading, prep, action updates and input from the team) are available prior to the meeting.
- Have regular reviews to revisit current priorities to ensure the meeting schedule is optimized.
- Manage the Line Manager email and delegate emails to the team where appropriate ensuring they are tracked to completion.
- Reminding the manager/executive of important tasks and deadlines
- Typing, compiling and preparing reports, presentations and correspondence
- Raising urgent payment requests when necessary
- To ensure all actions are logged, tracked and completed in a timely manner
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, managers and clients

- Assist in managing/ supervising subsidiary office
- Perform other duties as required.
Skills
· University degree in Business Administration / Management or any relevant courses.
· 6-10 years experience in similar position preferably in Construction, Commercial / Contractual background
· Excellent computer skills coupled with accurate typing in English.
· Must have excellent Advanced Microsoft Excel Skills
· Excellent communication skills (Written & Spoken)
· Experience in administration and able to draft letters.
· Ability to work independently and professionally.
· Able to prioritize and possess effective time management.
· Ability to handle extremely details and highly confidential information.
· Presentable and professional with a pleasant personality.
· Consistency in the workplace (Minimum 4-5 years in the same workplace) is a must.
