Job Description

Terms of Reference: Grants & MEAL Officer

Status:  Full-time

Duty Station: Sana'a - Aden

Duration: 7 months renewable based on performance 

Responsibilities:

  • Prepare weekly reporting, monthly reports outputs, success stories, and etc.
  • Provide critical inputs and analysis from reporting draft to be submitted on time.
  • Provide regular mentorship and guidance to field staff to ensure quality reporting;
  • Proofread all content in English version prior to release.
  • Translate various types of reports and project documents from Arabic to English and vice versa;
  • Contribute to monitoring and evaluation activities as requested;
  • Provide guidance and support to media as applicable;
  • Supported by Data Management staff, analyze and synthesize data, create infographics, interactive maps, and/or other communication materials as needed;
  • Contribute to regular project data review, ensuring accurate data collection, and analyzing the data to ensure the meeting of donor targets, and protection of key trends for further reporting and analysis;
  • Establish and communicate a reporting schedule ensuring submission of reports in a timely manner, and thus provided quality assurance of data with the support of Data Management staff. 
  • Compile field level information required to produce weekly and biweekly progress updates, monthly Situation Reports donor appeals, and updates related to the humanitarian assistance in the country following the standard reporting format/scheme, quarterly indicator reports, bi-annual, annual reports and other narrative reports as assigned by the relevant departments;
  • Overseeing reporting and data quality in an accurate and timely manner;
  • Systematically screens and cross-checks internal and external reports, situational reports, information and communication material for accuracy and consistency;
  • Maintains a close collaboration with the Monitoring and Evaluation team, field and technical Teams to ensure a smooth exchange of information.
  • Provide technical support, training and clarification on reporting policies;
  • Monitor and review regular sources of information and data required for preparation of reports, e.g., news clippings, surveys, information from field monitors, food statistics reports;
  • Train The Technical Team on the requirements of the donor reporting templates.
  • Regularly monitor funding opportunities by, among other activities, undertaking regular review of various donor websites to identify calls for proposals as well as to note and share any relevant information.
  • In consultation with the Grants and Partnership Manager, develop a calendar for potential concept notes and project proposals development for each Financial Year.
  • Based on credible needs assessment and gap analysis, coordinate development of concept notes and project proposals, both solicited and unsolicited.
  • Responsible to update and share the funding tracker on timely basis
  • Participate in and/or initiate periodic visits to the field/project site visits and project review meetings, as may be appropriate for effective project cycle management.
  • Coordinate the development of donor reports, ensuring consistency between narrative and financial reports and that they meet the organization and donor quality standards; 
  • Highlight critical financial issues such as under/over spends to finance and budget holders, and follow up;
  • Organize project review meetings, as needs, facilitate appropriate corrective actions are taken and relevant communications with donors and partners.  
  • In consultation with the Grants and Partnership Manager, develop proposal/concept note development and submission to donors.
  • Maintain complete and organized partnership files for each partner,
  • Support the project managers to process sub-awards modifications in a timely manner ensuring that the relevant Department   provide their inputs and approve the modification.
  • Support the program department to ensure the smooth close out of partner projects, as applicable.
  • Responsible for handling the relevant partnership email inboxes

Education, qualifications and experience:

  • University degree in management, social sciences or any other related field.
  • 3 – 5 years’ experience in a similar role
  • Experience in collecting qualitative and quantitative data
  • Good organizational skills, attention to detail and timely reporting.
  • Excellent verbal/written communication and relationship building skills.
  • Confident, flexible and initiative attitude with ability to work independently, to be proactive in working with others, willingness and commitment to work long hours during weekends and spend a significant amount of time in field locations.
  • Experience in data entry. Computer knowledge (Microsoft Office). Advanced knowledge of Microsoft Word and Excel.
